Europe Forum 2026: Photography & Media Rules
Published: 7 October 2026 · Applies to the 2026 Europe Forum organised by UCPAE and hosted by VCWI.
Photography, recording and publication
- Official communications. VCWI coordinates publicity and media arrangements for this forum and issues explanations and corrections of official event information. Attendance, registration or a media-partner listing does not itself grant permission to record or publish.
- Prior written permission. Interviews, livestreaming and audio or video recording intended for public distribution require prior written permission from VCWI. Publishing or distributing event photographs, audio or video on media outlets, personal social-media channels or for promotional or commercial purposes also requires prior written permission. Permission to record does not automatically include permission to publish.
- Personal keepsakes. Private souvenir photographs are permitted where they do not disrupt the event, breach a no-photography instruction or include people who object to being photographed. Do not record private conversations, non-public materials or restricted areas. Public sharing remains subject to the publication rule above.
- Authorisation scope and accuracy. Request permission at europe.forum@vcwi.nl, stating who will record, the purpose, material, intended channels and publication plan. Follow the written scope and on-site instructions. Do not use misleading edits or imply that an unauthorised account or statement represents VCWI or UCPAE.
- Copyright, image rights and privacy. Rights remain with their respective holders. VCWI's permission does not replace any permission or other lawful basis needed for identifiable individuals, speakers' presentations or other third-party material. These rules do not grant VCWI unrestricted rights to attendees' images or transfer third-party copyright.
- On-site handling. VCWI may ask anyone breaching these rules to stop recording and may seek correction or removal of unauthorised material through applicable lawful procedures. These rules are subject to applicable law and do not override statutory rights or exceptions.
